No payment receipts for business subscriptions
Microsoft states that Microsoft 365 services don’t provide payment receipts. If you pay by credit or debit card, the invoice plus your card statement is the record of payment. Microsoft’s own advice is to match the two.
Reading the transaction lines
- Purchase: the first invoice for a new purchase.
- Monthly payment: the recurring charge for the billing cycle.
- Renew: the subscription moved into a new term.
- Add quantity and Remove quantity: licenses added to or removed from a subscription.
- Usage charges: consumption-based subscriptions such as Azure.
- Cancel, Convert and Credit: a prorated refund after cancelling, a switch to another subscription, or a credit applied to the account.
Monthly or yearly billing
You choose a billing frequency when you buy. On a MOSA account a Billing admin can switch between and on the subscription’s details page. On an MCA account a frequency change can only be scheduled for renewal. Either way, check which invoices to expect before you close a month.
Paidwhere
Keep Microsoft invoices next to your card statement
Since Microsoft 365 business plans don’t issue payment receipts, the invoice PDF is what you file. The free Invoice to CSV converter turns saved PDFs into one spreadsheet in your browser without uploading them.
Paidwhere, a desktop app for Mac and Windows, picks up invoices you save to Downloads (a paid-plan feature), renames them date_vendor_amount, files them by year and month and adds them to a ledger. It converts foreign-currency amounts at the rate for the invoice date and can match card statement lines to the invoices you have filed.
