Paidwhere vs. cloud receipt apps

Most receipt apps upload your documents to their own servers and read them there. Paidwhere does the same job on your computer: invoices are read, renamed and filed into your own folders, and no readable copy of them sits on our servers.

Where a cloud receipt app fits

  • A team that approves expenses together in one shared web app
  • Working from any browser, without a computer of your own to keep the files
  • You’re comfortable with your receipts living on the provider’s servers

Where Paidwhere is different

  • Files and the ledger stay in a folder on your computer; there is no readable copy on our servers
  • Most pages are read on your computer. A page it can’t read sends only its text to an AI reader, and that text isn’t stored or used for training
  • Anything that moves between your computers, and soon your phone, is encrypted with a key only your devices hold
  • Originals are renamed and filed into year and month folders next to an Excel ledger that opens without us
  • Ask in plain words in English, Korean or Japanese, like “$60 last November”
  • Put in a card statement and see which charges have a receipt and which don’t

Side by side

  • Where documents live: on the app’s servers, or on your computer with Paidwhere
  • A readable copy on someone else’s server: yes, or none with Paidwhere
  • The original files: kept inside the app, or renamed and filed in your own folders with Paidwhere
  • If you stop using it: export what you need, or with Paidwhere nothing to move, since the PDFs and the Excel ledger are already yours

What to weigh

A cloud app works from any browser, and the provider looks after storage. With Paidwhere you look after one folder: back it up with Time Machine or File History, or keep it in iCloud Drive or Dropbox. In return, nobody else holds your paperwork.

About this comparison

Cloud receipt apps here means services that keep your receipts on their own servers. Features vary from one to another; this page compares how each kind works, not any particular product.

Questions

Can Paidwhere read my invoices?
We don’t keep anything we could read. Your invoices and ledger are on your computer. What passes through our servers is either a hard page’s text on its way to the AI reader, which isn’t stored, or encrypted with keys only your devices hold.
Is there a phone app?
Coming soon for iPhone and Android: look up the ledger, see what needs a look, get originals from your computer and send photos of paper receipts. Your files stay on your computer, and what moves to the phone is end-to-end encrypted.

Invoices that file themselves

Paidwhere for Mac and Windows reads invoices on your computer and files them into year/month folders with a ledger. Free to start.
