A folder of invoices in, a clean Excel ledger out

No templates, no typing. Put the files in Paidwhere’s Inbox folder and get a spreadsheet you would otherwise spend a weekend building by hand, with every original renamed and filed next to it.

What goes in

  • PDF invoices and receipts, including PDFs that hold several invoices (they are split)
  • Photos and scans (JPG, PNG, HEIC, WEBP, TIFF), read with on-device text recognition
  • ZIP archives and whole folders
  • Saved emails (.eml) and Gmail exports from Google Takeout (.mbox)

What comes out

  • Each original renamed to date_vendor_amount and filed into year/month folders, such as 2026/2026-09
  • A ledger row per invoice: date, vendor, invoice number, category, original amount and currency, the amount in your home currency and the source file
  • Excel export with ledger, monthly, vendor and category sheets; a CSV; and a ZIP of the receipts for any period (paid plans)
  • Ledger.xlsx kept up to date inside your Paidwhere folder (paid plans)

Checked, not guessed

Every value is tied to the line on the page it was read from. When a value is missing, can’t be confirmed on the page, or the subtotal and tax don’t add up to the total, the invoice goes to a short “Needs a look” list instead of straight into your totals.

Read on your computer

PDF text and on-device text recognition (Apple Vision on Mac, Windows’ built-in OCR) do the reading. Pages the built-in reader can’t handle can be read by an AI reader: only that page’s text is sent, and Paidwhere doesn’t store it. Your files and ledger stay in a folder you choose.

Questions

Is there a free way to try it?
Yes. The free Invoice to CSV converter on this site turns digital invoice PDFs into a CSV in your browser, with no account and no upload. The app’s Free plan reads 30 pages a month and files them into folders; Excel and CSV exports come with a paid plan.
Does it work on Windows?
Yes. The Mac and Windows apps work the same way: a folder on your computer, read on your computer. Both are coming soon.

Invoices that file themselves

Paidwhere for Mac and Windows reads invoices on your computer and files them into year/month folders with a ledger. Coming soon.
