Which card charges have no receipt?

Your accountant sends a list of charges and asks for the receipts, or you want to check before the year closes. Download the statement from your card company, put it in, and Paidwhere matches every charge with a receipt in your ledger.

How it works

  • Download a month, or any period, of charges from your card company or bank as CSV, XLS or XLSX.
  • Open Statements in the sidebar and choose Add statement, or drop the file in the Inbox folder.
  • Each charge is matched by amount, date (a few days either side) and the merchant’s name.
  • Charges with a receipt link to it. Charges without one are listed as Missing, at the top if you filter.

Foreign charges and refunds

A dollar charge on a yen or won card is matched by the foreign amount when the statement shows it, or by that day’s exchange rate within 3%. Those matches are labeled, so you can tell them from exact ones. Refunds and negative lines are shown as refunds, not as missing receipts.

Formats it reads

Card and bank exports from the United States, Japan and Korea, including Shift_JIS and EUC-KR files, full-width text, separate Debit and Credit columns, and charges written as negatives. If a file can’t be read as a statement, the app says so.

When a receipt is missing

  • Search Gmail: opens a Gmail search for that merchant around the charge date.
  • Vendor guide: for vendors we cover, where their invoices are and how to download them.
  • No receipt: mark charges that never have one, such as a parking meter, and they stop counting as missing.

One ZIP for your accountant

The statement’s ZIP holds every matched receipt and a list of the charges still without one, so your accountant sees both in one file. It is saved in your Accountant packs folder.

No bank connection

Paidwhere never asks for your card or bank login and never connects to your bank. The statement file stays on your computer, like everything else.

Questions

Does putting in a statement use pages?
No. Statements are read on your computer as tables and don’t count toward your plan’s pages.
Which plan includes it?
Personal and up. On Free you can still put a statement in and see how many charges have no receipt; the list and the statement’s ZIP come with Personal.
Can I put in more than one statement?
Yes. Each card or month is kept separately, and every one is matched again whenever a new receipt arrives.

Invoices that file themselves

Paidwhere for Mac and Windows reads invoices on your computer and files them into year/month folders with a ledger. Free to start.
